The Role

GreenLite is seeking a dedicated and experienced professional to serve as a combined Executive Assistant and Office Manager. You will be the central point of contact for all executive administrative needs and office-related matters, ensuring a seamless and welcoming environment for our team and visitors. Your role will be crucial in enabling our leadership to focus on driving company growth while maintaining our vibrant, collaborative in-office culture.

What you’ll be doing
On any given day, you can expect to do the following key activities:
Executive Support: Expertly manage complex calendars for senior executives, coordinate domestic and international travel, draft professional correspondence, and screen and prioritize all incoming communications.
Office Operations Management: Oversee the day-to-day functioning of the NYC office, including managing office supplies, vendor relationships, and facilities coordination to ensure a clean, organized, and efficient workspace.
Administrative & Financial Support: Prepare agendas and briefing materials for meetings, take minutes, and track action items. Handle expense reporting and assist with tracking departmental budgets and financial records.
Onboarding & Culture: Assist with the onboarding process for new hires, including preparing workspaces and coordinating IT setup. Organize and coordinate company events, team lunches, and other culture-building activities.
Project Coordination: Provide administrative support for a variety of special projects and initiatives, including research, data compilation, and deadline tracking for the leadership team.
Policy & Procedure Development: Assist in creating, documenting, and enforcing office-wide policies and procedures to ensure consistency, compliance, and best practices.
Confidential Information Handling: Maintain the strictest confidentiality regarding sensitive company information, strategic plans, and personal matters.
How you’ll be evaluated

Stakeholder Satisfaction: Positive feedback from both executives and employees regarding the effectiveness of your support.
Team Culture & Collaboration: Actively contribute to a positive team culture by fostering collaboration and a welcoming environment.
What we’re looking for
Experience: 4-7 years of progressive experience in a combined or individual Executive Assistant and/or Office Manager role, with a proven track record of supporting senior leadership and managing office operations in a fast-paced environment. Experience in a tech startup is highly preferred.
Organizational and Time Management Skills: Superior ability to manage multiple priorities, complex calendars, and office-wide tasks with meticulous attention to detail.
Communication Skills: Exceptional verbal and written communication skills, with the ability to compose professional correspondence and interact effectively with diverse stakeholders at all levels.
Discretion & Professionalism: Proven ability to handle highly confidential information with the utmost discretion and maintain a professional demeanor at all times.
Proactive & Resourceful: A self-starter who can anticipate needs, problem-solve independently, and take initiative to improve processes.
Tech Proficiency: Advanced proficiency with Google Workspace (Gmail, Calendar, Docs, Sheets, Slides) and experience with a variety of office management, CRM, and project management tools.
Adaptability: Ability to thrive in a dynamic, rapidly evolving environment, manage ambiguity, and adapt to changing priorities and demands.
Education: Bachelor’s degree required.
