Overview
We are seeking a highly organized, detail-oriented, and proactive Executive Assistant to provide comprehensive support to our CEO and ensure smooth day-to-day operations across the company. This individual will play a critical role in managing travel logistics, office operations, reimbursements, scheduling, and company events, while also assisting with various ad-hoc projects. Key Responsibilities
Executive Support
- Manage and maintain the CEO’s complex and dynamic calendar, prioritizing meetings and ensuring optimal time management.
- Anticipate needs and proactively resolve scheduling conflicts or logistical issues.
- Coordinate communications and act as a liaison between the CEO and internal/external stakeholders.
- Support preparation for meetings, presentations, and follow-up actions.
Travel & Expense Management
- Plan and coordinate detailed domestic and international travel itineraries, including flights, accommodations, transportation, and meeting logistics.
- Manage reimbursement processes and credit card reconciliations with accuracy and timeliness.
Office & Operations Management
- Oversee day-to-day office operations to maintain an efficient and positive workplace environment.
- Manage vendor relationships, office supplies, and equipment maintenance.
- Support onboarding logistics and workspace setup for new employees.
Event Coordination & Special Projects
- Plan and execute company-wide events, retreats, offsites, and team celebrations.
- Assist with internal initiatives and small ad-hoc projects as assigned by leadership.
- Partner cross-functionally to ensure successful execution of key organizational priorities.

Qualifications
- 3+ years of experience as an Executive Assistant, ideally supporting C-level executives.
- Proven experience with calendar management, travel logistics, and event planning.
- Strong proficiency in Google Workspace (Docs, Sheets, Calendar), Slack, and project management tools.
- Bachelor’s degree preferred or equivalent professional experience.
