Overview

We are seeking a highly organized, detail-oriented, and proactive Executive Assistant to provide comprehensive support to our CEO and ensure smooth day-to-day operations across the company. This individual will play a critical role in managing travel logistics, office operations, reimbursements, scheduling, and company events, while also assisting with various ad-hoc projects. The ideal candidate thrives in a dynamic environment, acts with a strong sense of urgency, and consistently demonstrates exceptional resourcefulness and professionalism.

Key Responsibilities

Executive Support

  • Manage and maintain the CEO’s complex and dynamic calendar, prioritizing meetings and ensuring optimal time management.
  • Anticipate needs and proactively resolve scheduling conflicts or logistical issues.
  • Coordinate communications and act as a liaison between the CEO and internal/external stakeholders.
  • Support preparation for meetings, presentations, and follow-up actions.

Travel & Expense Management

  • Plan and coordinate detailed domestic and international travel itineraries, including flights, accommodations, transportation, and meeting logistics.
  • Manage reimbursement processes and credit card reconciliations with accuracy and timeliness.

Office & Operations Management

  • Oversee day-to-day office operations to maintain an efficient and positive workplace environment.
  • Manage vendor relationships, office supplies, and equipment maintenance.
  • Support onboarding logistics and workspace setup for new employees.

Event Coordination & Special Projects

  • Plan and execute company-wide events, retreats, offsites, and team celebrations.
  • Assist with internal initiatives and small ad-hoc projects as assigned by leadership.
  • Partner cross-functionally to ensure successful execution of key organizational priorities.

Qualifications

  • 3+ years of experience as an Executive Assistant, ideally supporting C-level executives.
  • Proven experience with calendar management, travel logistics, and event planning.
  • Strong proficiency in Google Workspace (Docs, Sheets, Calendar), Slack, and project management tools.
  • Bachelor’s degree preferred or equivalent professional experience.
